Job Description
The purpose of this position is administering Sponsorship Communications (SC), grants and sponsorship funded program (SPAD) that maximize impact in the sponsorship target areas at the Program Area (PA) level. The position holder is expected to administer and monitor timeliness and quality of PA sponsorship communications and sponsorship programs to meet required standards and Plan`s commitments. Besides, s/he is also overall responsible for guiding the sponsored children, their families and communities to ensure their effective participation in the planning, management, monitoring and evaluation of the development interventions in their areas. Reporting to the Program Area Manager, S/he has supervisory responsibility to Program interns (CPOs) and Data Entry Clerks (DECs).
Responsibilities
Management and Leadership
- Set medium to long term goals and objectives for the direct reports and actively monitor progress of the achievement of objectives.
- Continuously evaluate performance of direct reports to ensure functional objectives are met.
- Manage conflict and creating a positive working environment.
- Ensure work ethics observed among your direct reports towards improving their own performance.
- Ensure that the organizational culture is maintained and direct reports live the values of the organization.
- Identify skill gaps, suggest for capacity building and develop staff development plans
- Build motivated and high performing team
Grants & SPAD project Management
- Operationalize the implementation of grants & SPADs projects through annual and quarterly plans (including budget planning) for the PAs,
- Coordinate project quarterly review of the plans and budget
- Ensure proper and realistic budget planning, including properly phased budgets.
- Closely support and monitor project staff to deliver project activities and utilize the budget in a timely manner;
- Ensure that MERL data are uploaded regularly,
- Ensure procurement plan and cash forecasts are prepared and utilized efficiently
- Prepare and submit quality and timely reports, both narrative and financial
Project Design and integration
- Monitor equitable distribution of projects in sponsorship communities while enhacing integration of grants and sposnorship
- Ensure the maintenance and strengthening of linkages, networks and collaboration between organization and sponsored families and their associations/groups and local government offices.
- Capacitate program area staff in sponsorship standards and policies
- Ensure the technical soundness, appropriateness and general quality in project design and planning
- Coordinate project planning, implementation and ensure the alignment of sponsorship processes with program implementation
- Prepare and develop annual work plans and project plans (SPAD) in consultation with appropriate stakeholders;
- Ensure effective and efficient management of program and sponsorship budget
- Ensure quality and timely reporting
- Ensure the mainstreaming of gender equity, disability Inclusion and DRR in the SPAD projects
Sponsorship Development
- Ensure PA’s sponsorship correspondence are timely and of high quality in accordance to the required standard.
- Ensure NOIs received are timely recorded and responded to, and reported in monthly and quarterly sponsorship reports
- Management of PA Case Load and Ensure Child Data are Accurately and Timely Recorded in the System
- Generating and analysing sponsored children data from Power BI and used for programmatic planning
- Receive and check communication items produced by program interns and CBOs each month
- Ensure new quota, cancelation and replacement are timely organized and processed
- Ensure the enrolment of girls to meet global target of 70 percent
- Ensure that program interns are effectively and efficiently follow the localized enrolment criteria in the community
- Participate in the development of sponsorship corporate deliverables such as area documents SPAR (PAOs, PAUs), G/CMSC, VIG, AR, etc
Ensure child protection policies are adhered to
- Ensure that child sponsorship information and photos are accessed only by authorized personnel
- Ensure that Sponsors understand and signs the child protection policy in advance before they visit the sponsored children
- Report all unannounced sponsor visits though required channels of reporting
- Ensure that all involved in sponsorship work are aware of child protection and sign hild protection policy
- Ensure that communications items are 100% screened to protect sponsors and sponsored children

- Ensure compliance with security procedures and policies as determined by country leadership.
- Proactively ensure that sponsorship team members at PA operate in a secure environment.
- Create and sustain a work environment of mutual respect where sponsorship team members at PA strive to achieve excellence.

Compliance to the Global Polices
Ensures that organization’s global policies for safeguarding children and young people and Gender Equality and Inclusion (GEIP) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring organization and Partner’s staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures
Knowledge and Experience
- A bachelor degree in the areas of Social Work, Sociology, Development Studies or any related social sciences fields, postgraduate is desirable.
- Minimum of at least five (5) years of relevant experience in the INGO environment.
- Ability to work independently with minimal supervision
- Demonstrated experience in the management of integrated multi-sectoral projects;
- Ability to ride a motorcycle with relevant licence
- Analytical and problem-solving skills
- Proficient computer skills in Microsoft applications including Word, Excel, Outlook and PowerPoint.
- Ability to work under multidisciplinary and multicultural environment
- Exceptional written and verbal communication skills
- Strong public speaking skills.
- Demonstrated versatility, and integrity
- Fluent spoken and written English and Amharic, knowledge of other local languages is an advantage
- Excellent interpersonal skills.
