Alliance Française of Dar es Salaam is a Tanzanian non-profit association operating with the support of French Embassy. It is part of an international network of more than 1000 Alliances Françaises world-wide
BACKGROUND
Alliance Française Dar es Salaam is an International non-profit organization dedicated to promoting the French language, to organize cultural and artistic events, and, on a broader level, to foster cultural and linguistic exchanges between Tanzania and France
The event organizer will work under the supervision of the Director in collaboration with the Communication, Technical, and Accounting departments on the following tasks:
- Planning and execution of scheduled cultural activities (100+ events/year)
- Concerts: Around 40 concerts a year, as part of Jumatano Groove.
- Art Exhibitions: Around 10 exhibitions in a year.
- Cinema screenings every other Tuesday
- Debates and major annual events: Francophonie, Music Day, etc.
- And every other event or project organized by the AF.
MISSIONS
Implementing and organizing the logistics of cultural events programmed by AFDAR: administrative, budget, and logistics follow-up for cultural events.
1/ Administration and budget
Preparation and monitoring of budgets (forecast and actual) for programmed events
Preparation of contracts (artists and service providers)
Preparing payment requests to the accounting department
Production of event reports and follow-up documents.
Maintaining follow-up documents for future reference.
2/ logistical and technical follow-up
Collecting technical requirements or specific needs from artists and speakers
Exhibition setup in liaison with artists or curators, organization of exhibition openings
Technical follow-up of film screenings
Set-up of every event
3/ Artist Engagement and Reporting:
Welcoming artists/ facilitators for initial meetings and reporting on their projects to the director.
Representing the director for meetings when needed
4/ Communication
Gather communication materials from partners and provide them to the communication team
PROFILE REQUIRED
Training and experience in cultural project management.
Degree in project management or cultural management.
Interest in culture, the French-speaking world, and international cooperation.
SKILLS
Autonomy, initiative, and a creative spirit.
Good interpersonal skills and ability to work within a team.
Strong adaptability to an international and intercultural environment.
Strong organizational and anticipatory skills
1. Strong Organizational Skills:
Coordinators must handle multiple tasks, including scheduling, logistics, and venue management. Being detail-oriented is essential for managing timelines.
2. Creativity and Innovation
This role often involves coming up with unique ideas for events, themes, and activities to engage diverse audiences and showcase culture in new and exciting ways.
3. Cultural Sensitivity and Awareness
Understanding the cultural significance of events, and respecting diversity. should be knowledgeable about different cultural expressions.
4. Excellent Communication
A coordinator needs to communicate clearly with artists, vendors, sponsors, and the public.
5. Networking and Relationship Building
Developing and maintaining relationships with key stakeholders, including artists, cultural organizations, venues, and local authorities.
6. Problem-Solving Skills
Unexpected challenges can arise. A cultural events coordinator should be able to think on their feet and find quick, effective solutions.
7. Team Leadership and Collaboration
Leading teams, including volunteers, and collaborating with different partners to make the event run smoothly requires strong leadership and people management skills.
8. Passion for the Arts and Culture
A genuine interest in culture and the arts can inspire creativity and bring a deeper commitment to the role.
