1. Administrator

Job Description

An Administrator’s primary responsibility is to provide support and assistance to ensure efficient operations within the organization. An Administrator may work within different departments throughout an organization, focusing on assisting company employees, clients, and customers so that business operations run smoothly.

Duties and Responsibilities

  • Oversee and monitor day-to-day operations of an office
  • Bookkeeping, record keeping, and data entry into financial, personnel, and legal databases and records
  • Handling correspondence, scheduling appointments, and managing calendars
  • Handle all personnel matters related to attendance records, leave, issuance of visas, licenses, etc.
  • Participate in the recruitment and training of General Service staff for specialized and non-specialized work and assign staff to meet work requirements
  • Assist with financial tasks, such as managing budgets, invoicing, and tracking expenses
  • Facilitate effective communication, including greeting clients and customers, and handling inquiries
  • Coordinate training and capacity-building activities for staff in administrative-related areas
  • Prepare correspondence, special reports, evaluations, and justifications as required on general administrative matters
  • Coordinate office events and meetings
  • Oversee office inventory, ensuring an adequate supply of consumables
  • Perform other related duties as required

Qualifications and Skills

The ideal candidate for this role should have:

  • A Bachelor’s degree in Business Administration, Human Resource Management, or a related field
  • A minimum of 8 years of experience in an administration role
  • Proficiency in Microsoft programs (i.e. Excel, Word, PowerPoint) and the ability to learn various commercially available accounting software programs
  • Strong knowledge of Tanzanian Labor laws and regulations
  • Excellent communication and interpersonal skills
  • Leadership and team management abilities
  • Fluency in English and Swahili is essential

2. Accountant

Job Description

An Accountant is responsible for managing and reporting financial information, including analyzing data, preparing financial reports, budgets, tax returns, and accounting records

Duties and Responsibilities

  • Manage financial transactions, including accounts payable/receivable, payroll, and budgeting
  • Prepare accurate financial reports, statements, and analyses for management
  • Ensure compliance with regulatory standards and organizational policies
  • Evaluate and reconcile diverse financial operations, inspect and confirm source documents, including invoices and expense vouchers to affirm commitments and post suitable records
  • Conduct quarterly financial forecasting and variance analysis to ensure budget adherence
  • Collaborate with management and Heads of Departments to ensure accurate budget allocation and utilization
  • Maintain financial records and documentation for audit and compliance purposes
  • Prepare monthly bank reconciliation statements and follow up with the bank on any issues requiring such follow-up
  • Ensure all statutory deductions such as pay-as-you-earn taxes are remitted to the relevant authorities within statutory periods
  • Ensure proper filing and safe custody of all financial documents
  • Ensure compliance with organizational financial and procurement guidelines
  • Identify and mitigate financial risks and implement controls to prevent fraud and irregularities
  • Support internal and external audits by providing necessary documentation and information
  • Perform any other tasks as assigned by the Head of Finance and Administration from time to time

Qualifications and Skills

The ideal candidate for this role should have:

  • A Bachelor’s degree in Accounting, Finance, or a related field
  • A minimum of 8 years of experience working in accounts
  • Strong knowledge of accounting software, attention to detail, analytical thinking, and excellent organizational skills
  • A strong understanding of accounting systems and processes
  • CPA is an added advantage
