Workshop Manager

Job Purpose
Reporting to the Head of Workshop, Workshop Manager will be responsible for all areas of workshop operation including day-to-day tasks related to automotive services, Machinery works, Fabrication , Civil works and generators services. The job holder will lead the workshop team in producing quality repairs with a “right-first-time” culture and attitude to their work. Identify opportunities that promote customer satisfaction and or process improvement ideas and help embed a culture on-site where everyone is responsible for the customer experience and works as a team to meet our customer expectations.
Key Responsibilities
Staffing, Work Allocation & Supervision
- Arrange for Job interview in liaison with HR department.
- Responsible for job card allocation and job card flow in the workshop including job scheduling and labor allocation for day-to-day workshop operations.
- Be able to determine specific timelines for different mechanical jobs on the job cards to determine vehicle and machine downtime due to repairs.
- Provide feedback to staff that is not performing to the expected level and ensure human resources are informed of trends in performance, staff complaints, and grievances & also execute any staff termination/separation.
- Ensure usage of company technical IT applications: FIIX, ZEN Desk, WINGU software, etc. in close liaison with IT and HR departments as applicable.
- Ensure proper annual leave planning
Workshop Management
- Participate in developing Workshop SOP’s & review of workshop processes.
- Develop job descriptions & define KPIs
- Ensure that the fleet of heavy equipment/machinery/vehicles is serviced and maintained following the required service standards.
- Coordinate resources, (operational and human) schedules and activities to effectively manage workshop projects.
- Ensure adequate supplies for each job assignment.
- Ensure adequate availability and effective maintenance of tools, equipment, and other materials in the Service area.
- Monitor inspection of dismantled parts for cause of wear; to diagnose & troubleshoot, as well as ongoing floor activities and guide employees & subcontractors on good workmanship.
- Oversees timely acquisition of licenses and permit renewals
- Be the final signatory on GRNs, STNs, voucher, delivery notes and gate passes
- Approval Signatory of LPO
- Custodian of all company documents
Customer / Stakeholder Management:
- Work with the Head of the Workshop to respond to client’s requests for updates on the status of their jobs and keep the communication channels open to ensure information is accurate.
- Investigate customer complaints and concerns arising from products % / or services and suggest appropriate solutions. Discuss with the team to identify appropriate courses of action.
- Receive and review feedback from customers and follow up to ensure customer satisfaction.
- Liaise & coordinate vehicle accident repairs with the internal Insurance department.
- Oversee the custodianship of workshop furniture, computers, tools, equipment, pickup vans.
- Oversee the custodianship of designated client's reliever machines, extra machines and vehicles.
Operational Health, Safety & Environment Compliance
- Ensure operational safety and compliance with company Health, Safety, and Environment policies and procedures.
- Enforce compliance to set laws, regulations and customer requirements governing business operations (Occupational Health & Safety, Environmental laws, relevant County By law etc.)
- Liaise & coordinate with the Insurance department on staff injury cases.
Reporting & Documentation
- Regularly report progress on each job and quickly communicate delays or concerns with the client as per set norms with your line manager.
- Report on manpower overruns or shortfalls as per set norms with your line manager.
- Preventive maintenance reports- accurate, timely delivery, recommendations (see appendix on reports)
- Documented and approved workshop risk assessment report.
- Ensure proper annual leave planning reports.
- Weekly Administration report.
- Well-documented revenue and billing report (cash flow).
- Always prepare a written handing over to your line manager in your absentia & should be acknowledged by the covering employee

- Ensure that no modifications or changes of original manufacturer’s designs on assets/equipment are done without proper explanation/proper report seeking approvals from the head of workshops or Directors.
Team Management
- Set goals for the team on time, aligned with business objectives
- Provide on-the-job mentoring and identify external trainings in liaison with HR & developmental interventions to enable higher performance.
- Conduct regular performance reviews and give timely feedback.
- Connect and engage with the team for higher motivation and retention.
- Discuss career aspirations and provide growth opportunities.
- Ensure adequate staffing of the team for numbers and competence.
Inventory Management
Responsible for the loss / misappropriation of spares stock, materials, pick up run, phones, computers, documents and furniture
Education, Qualifications & Experience required
- Degree in Mechanical Engineering or related field;
- 5+ years’ experience managing a large & busy automotive workshop, or holding the position of a Mechanical Workshop Manager, Maintenance Manager, Plant Workshop Manager or Fleet Maintenance Manager
- Duty station Mombasa, Kisumu, Nairobi
- Knowledge of Automotive systems (vehicle layout, function, and location of parts);
- Knowledge of mechanical issues, warranties, service, and general repairs;
- Good understanding of Workplace safety, fire-Marshall & first aid, site safety
- Proficiency in Microsoft Office suit.
