We are recruiting for a dynamic HR/Admin Manager to provide leadership in the Human Resources function for ADRA Kenya. The ideal candidate will ensure ADRA Kenya has competent, engaged, and productive human resources, facilitate all HR processes and ensure a compliant environment in which employee engagement is at the center of all people activities as well as provide administrative support for the organization.
Specific Tasks
HR Policies and Procedures
- Lead in regularly developing, reviewing and updating the HR policies and procedures, aligning them with the organization’s objectives and the national labour laws to ensure compliance and address non-compliance.
- Advise the management on all HR-related policy matters in line with the national labour laws.
Recruitment and Talent Management
- Coordinate and oversee the process of selection and recruitment of staff in accordance with the HR Policy, established rules, procedures, and practices.
- Maintain the work structure by updating job requirements and job descriptions for all positions in collaboration with line Managers and the Country Director.
- Preparing and reviewing employment contracts in line with the ADRA Kenya HR
- Policy and national labour laws.
- Coordinate effective systematic staff orientation, onboarding and exit processes; and documenting these processes.
Payroll and Compensation
- Prepare monthly payroll details and share them with the payroll accountant, highlighting the relevant changes (new staff, deductions, allowances, revisions, allowances, separations).
- Responsible for the administration of various benefit schemes including insurance, pension scheme etc.
- In coordination with the Country Director & the Finance Director, develop an overall compensation philosophy and coordinate salary and labour market surveys ensuring internal equity and external competitiveness, and recommend revisions to the wage structure.
Performance Management and Staff Development
- Oversee adequate implementation of the performance management system including developing performance objectives and Key Performance Indicators (KPIs); and coordinating performance appraisals.
- In liaison with the line Managers address skill gaps that affect staff performance and facilitate access to training resources and capacity building support.
- Ensure performance management system supports the organization’s objectives and is aligned to the relevant strategies and fosters a performancebased culture.
Employee Wellness and Safety
- Organize regular staff meetings and other team building events for the purpose of exchanging information, coordination, and learning.
- Nurture a positive working environment, and develop and implement workplace safety procedures and execute best practices to manage risk.
- Bridge management and employee relations by addressing demands, grievances, and other issues.
Human Resource Records and Knowledge Management
- Create, check and maintain personnel files for all staff (both physical and digital files) ensuring all documentation is complete, updated and confidential.
Travel, Work Permit, Special Pass and VISA Processing
- Support staff and partners process their visas, work permits and/or special pass documentation.
- Manage the reservations of local flights airport pick-ups and hotel accommodation arrangements for guests/visitors.
- Process ADCOM approval of budgeted international travels, arrange for flight reservations, & ensure travelling staff have adequate travel insurance cover.
HR and Administrative Operational Support
- Administer leave and attendance and ensure an updated group calendar
- Monitor existing term contracts and timely inform the HR Manager
- Secretary to the Administrative Committee (ADCOM) and a member of the Procurement Committee
- Supervise the Admininstrative Assistant and support staff.
- Maintain and update HR Calendar and send out reminders to concerned parties.
- Represent ADRA Kenya in HR-related working groups and forums.
Safeguarding & Protection
- Leading the development and implementation of the Annual Safeguarding
- Action Plans, and following up on country safeguarding self-assessment reviews and audits.
- Support staff orientation and capacity building on Safeguarding and PSHEA.
- Focal person on all matters related to Safeguarding, Child Protection and general compaints and feedback.
- Any other duties as may be assigned by the supervisor.
Desired Competencies and Minimum Qualifications
- Education Bachelor’s degree in Human Resource Management, Business Management or similar field.
- Professional qualification in Human Resource Management
- A member in good standing of Institute of Human Resources Management Kenya.
Experience
- At least three years experience in human resources management, two of these in an INGO.
- Good knowledge of Kenya labor laws and HR best practices in Kenya.
- A practical understanding of safeguarding and how to create safe environments.
