The Front Office Sales Representative is responsible for greeting customers, clients and suppliers and handling client inquiries, managing customer phone calls, and performing various administrative tasks to support the sales team. This role involves direct interaction with customers to facilitate sales, provide product information, and ensure a high level of customer satisfaction.

1. Customer Interaction:

§ Greet clients and visitors warmly and professionally.

§ Address client inquiries in person, via phone, and email promptly and accurately.

§ Provide product and service information to clients.

2. Sales Support:

§ Carry out administrative tasks, including order processing and data entry.

§ Maintain updated knowledge of company products and services to provide accurate information to customers.

§ Support sales process by generating leads, client retention and managing follow-up communication.

3. Administrative Duties:

§ Manage and supervise all offices by ensuring they are clean, organized, and presentable.

§ Handle incoming and outgoing calls.

§ Manage the Director’s diary.

§ Oversee provision of quality staff meals.

4. Office Management:

§ Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders, and verifying receipt.

§ Keep the Director’s office organized and tidy.

§ Oversee safety and security of all company facilities.

§ Ensure all offices are clean, organized, and well-maintained.

5. Record Keeping:

§ Maintain accurate records of customer interactions and transactions.

§ Ensure all company information is updated both physically and digitally.

§ Update and manage the customer database.

§ Handle confidential information and data with integrity and discretion.

6. Communication:

§ Timely and prompt communication with clients.

§ Relay important information and feedback from customers to the appropriate departments.

7. Customer Service:

§ Address and resolve customer inquiries and complaints promptly and professionally.

§ Ensure a high level of customer satisfaction by providing excellent service.

8. Compliance:

§ Ensure that all trade licenses and certificates are valid and to date.

§ Ensure all Health and safety measures are adhered to.

9. Events Coordination

§ Plan and organize office events, meetings and workshops.

§ Arrange catering, venue and necessary equipment for events.

Any other duties assigned.

QUALIFICATIONS, EXPERIENCE & SKILLS

§ A diploma or bachelor's degree in business, marketing, or a related field is preferred.

§ Proven experience in a customer service or sales role.

§ Strong interpersonal skills.

§ Proficiency in Microsoft Office Suite and CRM software.

§ Ability to multitask and manage time effectively.

§ Positive attitude and professional appearance.
